Attendance Agreement

By registering for, attending, or participating in any tech night! event, meetup, hackathon, or activity (collectively, "Event" or "Events"), you agree to be bound by this Attendance Agreement ("Agreement"). If you do not agree with any part of this Agreement, please do not attend our Events.
In this Agreement, "tech night!", "we", "us", or "our" refers to the organizers of the tech night! community (an unincorporated volunteer community based in California, USA). "You", "attendee", or "participant" refers to any individual who registers for, attends, or participates in any tech night! Event, including but not limited to general attendees, volunteers, speakers, sponsors, and sponsor representatives. All attendees, regardless of their role or relationship with tech night!, are subject to the same terms and requirements of this Agreement.
We ask that you please review and comply with these terms, as they help us create a safe, welcoming, and enjoyable experience for everyone in our community. Your cooperation ensures that tech night! remains a positive space where all attendees can connect, learn, and grow together.

Event Registration and Attendance
Registration Requirements: To help us plan appropriately and ensure we can accommodate everyone safely, please register for Events through the designated event platform (Meetup, Luma, Eventbrite, or other platforms we may use) before attending. Walk-ins may be accommodated if space permits, but we cannot guarantee entry without prior registration. Your advance registration helps us create a better experience for all attendees.
Accurate Information: Please provide accurate and complete information when registering for Events. This helps us communicate important updates and ensures we can reach you if needed. If your contact information changes, please update your registration or notify us so we can keep our records current.
Event Capacity: Events may have limited capacity. We reserve the right to limit attendance, refuse registration, or remove attendees who have not properly registered or who violate this Agreement or our Code of Conduct.
Age Requirements: Events are generally intended for attendees age 13 and older. If you are under 18, you may need parental or guardian consent to attend certain Events. We will specify age requirements for specific Events when applicable.
Code of Conduct
By attending any tech night! Event, you agree to abide by our Code of Conduct, which is incorporated into this Agreement by reference. The Code of Conduct applies to all Event attendees, whether attending in person or participating online.
Expected Behavior: We ask that you treat all Event attendees, organizers, volunteers, speakers, sponsors, and venue staff with respect and professionalism. This applies equally to everyone, including sponsors and their representatives, who are considered attendees and must follow the same standards as all other participants. When everyone follows these guidelines, we create an environment where all community members can feel comfortable, participate fully, and benefit from the event. Harassment, discrimination, disruptive behavior, or violations of the Code of Conduct will not be tolerated, as they harm the community experience for everyone.
Consequences: We take violations of the Code of Conduct seriously because they impact the safety and enjoyment of all attendees. Violations may result in immediate removal from the Event, prohibition from future Events, or other enforcement actions as described in our Code of Conduct. This applies to all attendees equally, including sponsors and their representatives. We reserve the right to remove any attendee at any time for behavior we deem inappropriate, disruptive, or harmful to the Event or other attendees. Our goal is to protect the community and ensure everyone can participate in a positive environment.
Assumption of Risk and Release of Liability
Voluntary Participation: Your attendance and participation in Events is voluntary. You acknowledge that you are participating at your own risk.
Assumption of Risk: You understand and agree that participation in Events may involve certain risks, hazards, and dangers, including but not limited to physical injury, illness, property damage, or other harm. These risks may arise from your own actions or inactions, the actions or inactions of others, the condition of the venue, or other factors beyond our control.
Release of Liability: To the fullest extent permitted by law, you hereby release, waive, discharge, and covenant not to sue tech night!, its organizers, volunteers, sponsors, partners, venue operators, or any of their respective officers, directors, employees, agents, or representatives (collectively, "Released Parties") from any and all liability, claims, demands, actions, causes of action, costs, expenses, damages, or losses (including death, personal injury, property damage, or other harm) that may arise from or relate to your attendance at or participation in any Event, whether caused by the negligence of the Released Parties or otherwise.
Limitation of Liability: To the maximum extent permitted by law, the Released Parties shall not be liable for any indirect, incidental, special, consequential, or punitive damages, or any loss of profits or revenues, whether incurred directly or indirectly, or any loss of data, use, goodwill, or other intangible losses, resulting from your attendance at or participation in any Event.
Health and Safety
Your Health: You are responsible for your own health and safety during Events. For the wellbeing of all attendees, please do not attend Events if you are feeling unwell, have symptoms of illness, or have been exposed to contagious diseases. By staying home when unwell, you help protect the health of everyone in our community, especially those who may be more vulnerable. We appreciate your consideration for others.
Medical Conditions: If you have any medical conditions, allergies, or special needs that may affect your participation in Events, please inform us in advance and take appropriate precautions. We want to make our Events accessible and safe for everyone, and advance notice helps us prepare. We will make reasonable efforts to accommodate special needs when possible, but we cannot guarantee that all accommodations can be met.
Emergency Medical Care: In the event of a medical emergency, you consent to receiving emergency medical treatment if necessary. You understand that tech night! and the Released Parties are not responsible for the cost or quality of any medical care you may receive.
Alcohol and Substances: Some Events may serve alcohol. If you choose to consume alcohol at Events, please do so responsibly and in accordance with applicable laws. You must be of legal drinking age (21+ in California) to consume alcohol. We ask that you please respect the comfort and safety of all attendees by maintaining appropriate behavior. Intoxication or substance abuse at Events is prohibited and may result in immediate removal, as it can create an unsafe or uncomfortable environment for others.
Photography, Video, and Media
Event Photography and Video: Tech night! or its authorized representatives may photograph, film, or record Events for promotional, educational, or archival purposes. By attending Events, you consent to being photographed, filmed, or recorded, and you grant tech night! a perpetual, worldwide, royalty-free license to use, reproduce, modify, distribute, display, and perform such photographs, videos, or recordings in any media format and for any purpose related to tech night! and its activities.
Attendee Photography: You may take photographs or videos at Events for personal, non-commercial use, provided that you respect the privacy and wishes of other attendees. Please be considerate and ask for consent before photographing or filming others. This helps ensure everyone feels comfortable and respected in our community space. Do not photograph or film anyone who objects or appears uncomfortable.
Commercial Use: You may not use photographs, videos, or recordings of Events or other attendees for commercial purposes without our prior written consent and the consent of any identifiable individuals.
Opt-Out: If you do not wish to be photographed or filmed, please inform Event organizers or photographers at the Event. We will make reasonable efforts to accommodate your request, though we cannot guarantee that you will not appear in background shots or group photos.
Venue Requirements and Policies
Venue Rules: Each Event venue may have its own rules, policies, and requirements that we must follow. We ask that you please comply with all venue-specific rules and policies, as they help ensure we can continue using these spaces for our community Events. Venue staff have the authority to enforce their policies, and non-compliance may result in removal from the venue.
Respect for Venue Property: Please treat venue facilities, equipment, and property with care and respect. Any damage to venue property may result in liability for the responsible party and could impact our ability to use the venue for future Events. We appreciate your help in maintaining good relationships with our venue partners.
Venue Capacity and Safety: Venues may have capacity limits, fire codes, or other safety regulations that we must follow. Please respect these limits and any instructions from venue staff or Event organizers regarding capacity, seating arrangements, or emergency procedures. Your cooperation helps ensure everyone's safety and allows us to continue hosting Events at these locations.
Parking and Transportation: Please follow all venue parking rules and regulations. Some venues may have limited parking or specific parking requirements. We encourage carpooling or using public transportation when possible to reduce parking congestion and make Events more accessible for all attendees.
Sponsors
Sponsors as Attendees: Sponsors and their representatives are considered attendees and are subject to all terms of this Attendance Agreement, including our Code of Conduct. Sponsors must follow the same rules, policies, and guidelines as all other attendees. This includes compliance with venue requirements, health and safety guidelines, photography policies, and all other sections of this Agreement. We appreciate sponsor support, but sponsorship does not grant any special privileges or exemptions from our community standards.
Sponsor Recognition: Some Events may be sponsored by companies or organizations that support tech night! and our community. We are grateful for sponsor support, as it helps us provide better Events and resources for our community. Sponsors may have booths, displays, or promotional materials at Events, but these activities must still comply with all terms of this Agreement.
Sponsor Interactions: You are welcome to engage with sponsors at Events, but please do so respectfully and in accordance with our Code of Conduct. Sponsors are part of our community, and we ask that you treat them with the same respect and professionalism as you would any other attendee. If you have concerns about sponsor behavior, please report them to Event organizers.
No Endorsement: The presence of sponsors at Events does not constitute an endorsement by tech night! of their products, services, or views. We select sponsors based on their alignment with our community values, but your interactions with sponsors are your own choice and responsibility.
Sponsor Content: Sponsors may share information about their products, services, or job opportunities, but must do so in compliance with our Soliciting and Commercial Activity guidelines. Please use your own judgment when evaluating sponsor information, and remember that you are not obligated to engage with any sponsor content. We ask sponsors to respect our community guidelines and not engage in aggressive sales tactics or inappropriate behavior. Violations by sponsors may result in removal from Events and termination of sponsorship agreements.
Soliciting and Commercial Activity
No Unsolicited Soliciting: Tech night! Events are community gatherings focused on friend-making/networking, learning, and building genuine connections. Please do not use Events as a platform for unsolicited sales pitches, business solicitations, or aggressive marketing. This includes distributing business cards, flyers, or marketing materials without invitation, approaching attendees with sales pitches, or using attendee contact information for commercial purposes without consent.
Respectful Friend-making/Networking: We encourage genuine friend-making/networking and professional connections at Events. If you're interested in someone's work or services, please engage in natural conversation and ask if they're open to discussing business opportunities. Respectful networking benefits everyone and helps build a stronger community. Aggressive or pushy sales tactics create an uncomfortable environment and are not welcome.
Recruiting: If you're recruiting for job opportunities, please be respectful and considerate. Only approach attendees who have expressed interest in job opportunities, and respect their time and boundaries. Do not collect contact information without explicit consent, and do not use Events as a way to build marketing or sales lists. Unwanted recruiting behavior may result in removal from Events.
Authorized Commercial Activity: Only authorized sponsors or partners with prior written permission from tech night! organizers may engage in commercial activities at Events. However, even authorized sponsors must comply with all terms of this Agreement, including our Code of Conduct and soliciting guidelines. Sponsorship authorization does not exempt sponsors from following community rules. If you're interested in sponsoring an Event or having a commercial presence, please contact us in advance or email us at hey@technight.events. Unauthorized commercial activity may result in removal from Events and prohibition from future Events.
Community First: Remember that tech night! Events are about building community, not generating leads or making sales. When everyone focuses on genuine connections and mutual support, we all benefit. If relationships naturally lead to business opportunities, that's wonderful, but please let those connections develop organically rather than forcing them.
Event Changes and Cancellations
Event Modifications: We reserve the right to modify, reschedule, relocate, or cancel Events at any time for any reason, including but not limited to weather, safety concerns, venue issues, low registration, or circumstances beyond our control.
Notice of Changes: We will make reasonable efforts to notify registered attendees of significant changes or cancellations via email or through the event registration platform. However, we are not responsible for any costs, expenses, or losses you may incur due to Event changes or cancellations, including but not limited to travel costs, accommodation expenses, or time off work.
Refunds: Most Events are free to attend. For paid Events, refund policies will be specified at the time of registration. Generally, refunds are not available for attendee-initiated cancellations or no-shows, but may be available if we cancel an Event.
Personal Property and Belongings
Your Responsibility: You are solely responsible for your personal property and belongings at Events. Please keep an eye on your items to help prevent loss or theft. Tech night! and the Released Parties are not responsible for any loss, theft, or damage to your personal property, including but not limited to laptops, phones, bags, clothing, or other items.
Lost and Found: If you find lost items at an Event, please turn them in to Event organizers. This kind gesture helps reunite items with their owners and strengthens our community spirit. If you lose something, contact us at hey@technight.events. We will make reasonable efforts to return lost items, but we are not responsible for items that are not claimed within a reasonable time period.
Intellectual Property
Event Content: All content presented at Events, including but not limited to presentations, slides, materials, and discussions, may be protected by copyright, trademark, or other intellectual property rights. Speakers and presenters retain ownership of their content.
Your Use: You may take notes and use Event content for your personal learning and professional development. We encourage learning and knowledge sharing within our community. However, please respect the intellectual property rights of speakers and presenters by not reproducing, distributing, modifying, or creating derivative works from Event content without the express written permission of the content owner. This helps protect the work of our community members and encourages continued participation.
Your Contributions: If you present, speak, or contribute content at Events, you grant tech night! a non-exclusive, worldwide, royalty-free license to use, reproduce, and distribute your contributions for purposes related to tech night! and its Events. We appreciate your contributions to our community and use this license to help share knowledge and promote our events for the benefit of all members.
Indemnification
We ask that you please take responsibility for your actions and their impact on our community. You agree to indemnify, defend, and hold harmless tech night! and the Released Parties from and against any and all claims, demands, actions, causes of action, costs, expenses, damages, losses, or liabilities (including reasonable attorneys' fees) that arise from or relate to:
- Your attendance at or participation in any Event
- Your violation of this Agreement or our Code of Conduct
- Your violation of any applicable law or regulation
- Your infringement of any intellectual property or other rights of any third party
- Any injury, damage, or harm caused by you to other attendees, Event organizers, or third parties
Governing Law and Dispute Resolution
Governing Law: This Agreement and any dispute arising out of or relating to this Agreement or your attendance at Events will be governed by and interpreted in accordance with the laws of the State of California, USA, excluding its conflicts-of-law principles.
Jurisdiction: You agree that any claims or legal actions between us must be brought exclusively in the state or federal courts located in Orange County, California (or the appropriate court closest to Orange County if none is located within it). You consent to venue and personal jurisdiction in such courts.
Informal Resolution: We believe in working together to resolve issues amicably for the benefit of our community. Before initiating any formal legal proceedings, please contact us at hey@technight.events to attempt to resolve any disputes informally. We're committed to finding solutions that work for everyone.
General Provisions
Entire Agreement: This Agreement, together with our Code of Conduct and Terms of Service (which are incorporated by reference), constitutes the entire agreement between you and tech night! regarding your attendance at and participation in Events.
Severability: If any provision of this Agreement is held to be invalid or unenforceable by a court of competent jurisdiction, the remaining provisions will remain in full force and effect, and the invalid or unenforceable provision will be deemed modified so that it is valid and enforceable to the maximum extent permitted by law.
Waiver: Our failure to enforce any right or provision of this Agreement is not a waiver of that right or provision.
Assignment: You may not assign or transfer this Agreement without our prior written consent. We may assign this Agreement at any time.
Changes to Agreement: We may update this Agreement from time to time. Material changes will be posted on our website with an updated "Last updated" date. Your continued attendance at Events after changes become effective constitutes acceptance of the updated Agreement.
